Marketing and Events Coordinator

Position Mission: The Marketing & Events Coordinator is owner of all of the events for our organization. This person must be passionate about learning, enjoy interacting with our members and partners, enjoy managing details and creating a customer experience that is energetic, positive, and professional. They are responsible for coordinating all the details to ensure that our clients experience at our events are enjoyable, positive and productive and that we have created the best environment possible for our clients.

Education and Experience:  Four-year college degree, plus 1-3 years related work experience, internships, or training. Knowledge of a specialized field such as event planning, administrative & general clerical support, etc. Event planning, scheduling support and project management is a plus.

Required Certificates, Licenses & Registrations: None required. Expectation she/he will pursue professional event planning and professional development designations.

Mission-Critical Essential Duties and Responsibilities:

  • Be the professional face and voice of OIA at all events; Travel required around Ohio
  • Maintain and nurture relationship with instructors and speakers
  • Plan and execute events, to ensure the vision and plan that the OIA event team sets forth is achieved – IACON, Next Gen events, etc.
  • Manage the event costs to remain within event budget
  • Monitor and report on the key performance indicators (KPIs) for our events
  • Create marketing messages to promote events
  • Act as liaison between our partner, locations, and the OIA event team by disseminating appropriate information as it relates to the meeting and/or event
  • Maintain strong venue relations and ensure that meeting/event specifications are communicated and executed for a successful event experience. Organize and conduct pre/post meeting with assigned groups.
  • Perform all administrative work related to events, event website positing, registrations, event closings and answering client questions about our various events.
  • Provide accurate and timely information to members (email and calls) concerning event registration
  • Completes special projects and performs other related duties as needed or assigned
  • Supports the marketing team with creative execution, digital marketing efforts, and campaign strategy efforts

  • Considerable responsibility regarding general assignments in planning time, method, manner and/or sequence of performance of own work. Ability to accomplish projects with little supervision.

  • Active relationship with technology, desire to explore and learn technology platforms that create efficiencies
  • Ability to solve practical problems and deal with a variety of known variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, or diagram formats.
