Professional Development Coordinator

Reports to:  Director of Professional Development 

 

Position Mission: This position serves to assist the Director of Professional Development in efforts to lead, develop, grow and manage professional development programming and operations to ensure effective delivery of relevant professional development opportunities for OIA members and customers.  

Education and Experience: Four year college degree, preferably in hospitality management, or similar, plus 1-3 years related work experience, internships, or training. 

Required Certificates, Licenses & Registrations: None required.  Adult learning, training delivery and curriculum development experience helpful.   

Mission-Critical Essential Duties and Responsibilities: 

  • Submit Continuing Education Applications for Approval. This will require: 
    • Getting timed outlines from those in charge of the webinars, making sure they are compliant, creating the application document with appropriate supplements
    • and submitting.  
    • Following up on approval for submitted courses.  
    • Following up with reminders to those responsible for future webinars so as to submit on time. 
  • Ensure adequate course offerings are available in appropriate formats to meet member needs. 
  • Assure OIA’s class offerings comply with regulatory requirements. 
  • Assure third party class offerings comply with regulatory requirements. 
  • Sending weekly education emails to registrants 
    • The Friday before the following week & the day before the course 
  • Support staff and operations for annual conference. 
  • Lead the development of curriculum, including managing consultant related curriculum projects. 
  • Support the development of OIA staff, including: training, evaluation, advancement, relationship building, and recruitment. 
  • Align staff to carry out and maintain all professional development goals. 
  • Assist Director of Professional Development with day to day phone calls and emails regarding: 
    • Registration Issues 
    • Course Questions 
    • Continuing Education Questions 
    • Designation Questions & Extensions 
  • Create education events in Fonteva for registrations and add them to the website 
  • Make sure weekly reports are sent to the appropriate contacts: 
    • CIC/CISR Attendees to PA 
    • Rosters updated in DropBox for FISCE 
  • Send completion certificates to members after successful CE course completion 
    • Send certificates to members as requested 
  • Assist in securing hotels/conference rooms for in person classes 
    • Be the liaison between OIA & Hotel Admin 
    • Scheduling food, dates, room blocks, etc 
  • Assist with in person courses being offered at OIA 
    • Scheduling food, room set up, etc.  
  • Act as on-site administrator for professional development programs as necessary. Travel Required. 
  • Serve as backup to other teammates as needed. 
  • Perform any other related duties as required or assigned.

  • Excellent customer service skills, patience and perseverance 
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  
  • Ability to compute rate, ratio, and percent and to prepare and interpret bar graphs. 
  • Ability to define problems, collect data, establish facts, and draw valid conclusions. 
  • Considerable responsibility with regard to general assignments in planning time, method, manner and/or sequence of performance of own work; may also occasionally assist in the planning of work assignments performed by others within a limited area of operation. 
  • Frequent contacts with business partners, members and governing bodies key stakeholders or other outside representatives, wherein the manner of handling these contacts has a bearing on the organization’s position and operation.
