Artificial Intelligence (AI) is no longer some distant technology on the horizon. It’s here, woven into the tools many of us use daily, and it’s reshaping the way businesses operate. For independent insurance agencies, AI presents exciting opportunities, but also new risks that we can’t afford to ignore. That’s why every agency needs an AI policy.
At OIA, we’ve been exploring how AI might support our operations and create better practices. What we’ve learned is clear: the first step isn’t about using AI everywhere; it’s about putting the right guardrails in place. A policy gives your team confidence, protects client trust, and positions your agency to compete in a changing marketplace.
Even if your agency hasn’t officially adopted AI, you’re probably already using it indirectly. Many carrier systems, marketing platforms, and CRMs now include AI features behind the scenes. The question isn’t if you’ll encounter it, but it’s whether your agency is prepared to use it responsibly.
Chris Cline, former Big “I” Executive Director, Agents Council for Technology, shared with Agent for the Future, “Even if you personally aren’t using AI or making it part of your agency’s processes, your team may be using AI. They may even be using AI tools to support them in their jobs . . . perhaps even [for] renewal or policy renewals.” This showcases the potential implications that are underway without clear definition of AI usage in the workplace.
That’s where a policy comes in. Without clear guidelines, AI can create mistakes, produce biased results, or even expose sensitive data. An AI policy sets boundaries, so your staff knows what’s appropriate, what’s off limits, and when human oversight is required. And that oversight is key. AI can assist with content and efficiency, but final decisions, advice, and client communication must always rest with a licensed professional.
Agencies that take this step will stand out. Carriers and competitors are already adopting AI, and clients want to know if their information is safe. A policy reassures them your agency is embracing innovation responsibly.
